Secretary (Arabic Speaking)

Stantec is currently seeking a Secretary for our Qatar site operations.

Key accountabilities for this position include but are not limited to:

  • Draft correspondence; proofread documents; assist with the preparation of presentations; may independently prepare simple written correspondence within established guidelines.
  • Monitor and process routine administrative items such as accounts payable, expense reports, supply requisitions, personnel transaction forms, including change of status, prospective employee interview scheduling, and new hire orientation.
  • Schedule appointments; update calendars; assist with travel arrangements.
  • Schedule meetings, coordinate meetings; prepare draft-meeting minutes.
  • Maintain records, create and maintain charts, graphs, spreadsheets and databases.
  • File (paper and electronic); fax; copy; distribute mail.
  • Participate actively with other administrative support staff in assisting other teams, within and external to the project, as needed.
  • Follow safe work practices and adhere to company guidelines and policies for planning and executing work in a safe manner.
  • Complete all work in line with Stantec Core Values and in accordance with the Stantec Quality Systems and Project Quality Procedures.
  • Other duties as requested from time to time by the Office Manager.

Qualifications

A. Qualifications

  • Diploma and/or specialized training from an accredited University to the approval of the Engineer.
  • Shall have matriculation and should be fully computer literate and conversant with Microsoft Office applications. Must be able to maintain filing and document control systems.
  • At least 10 years of document control and tracking including minimum 5 years using EDMS {Electronic Documents Management Systems) preferably Primavera Contract
    Management.
  • Extensive knowledge and experience in document control from the project initiation to closeout phases, utilizing computer-based systems (Primavera Contract Management/EDMS), within the framework of an integrated project services function for the effective management of a wide range of concurrent projects.
  • Good oral and written English language, with good computer skills.
  • Preferably, they have a minimum 3-year experience in the gulf region.

B. Experience

  • Must have a minimum of Ten (10) years of relevant experience.

C. General

  • Must be fluent in English and Arabic both written and spoken with good capability in
    oral and written communication skills.
  •  Arabic both written and spoken is required.
  • Meticulous and good record of information.
  • Computer skills are mandatory
