Secondary Administration/ Admissions Assistant Job Description/Member Of Staff Profile

Scope: Secondary School

Reporting to: Head of Administration

In order to fulfil this role effectively, the successful candidate will need to have a diverse range of qualities, competencies and experience. He/She should be a caring and understanding person. He/She should be able to provide professional parental services, greet, welcome and assist parents and visitors. He/She should be able to provide Primary support to staff, parents and students. He/She should be a flexible team player, an excellent listener and communicator and a keen learner.

The School Prefers Staff With

Qualification and experience.

1.1 Bachelor Degree in administration or equivalent

1.2 Have administrative, secretarial and/or school admission experience.

1.3 Familiar with the use of Databases

2.10 possess strong organizational skills with the ability to manage priorities.

3 Key areas of responsibility

3.1 Support the admissions in maintaining and updating student files and database using the school database system

3.2 Be the first point of contact for both telephone and face to face enquiries for Secondary students and parents (including scheduling of parents/ teachers appointments) and take messages where appropriate from parents and teachers.

3.3 Collate all information and news and prepare the daily bulletin

3.4 Assist when required in the organization of the Secondary school trips and events

3.5 Assist Admissions with the school tour

3.6 Maintain and update the Secondary and whole school calendar

3.7 Provide general clerical support as required for the whole school especially during events/Secondary section including but not limited to photocopying, filing, letters & reports typing etc.

3.8 Assist in the coordination and set up of school events including parent meetings, parent-teacher conferences, shows and other events

3.9 In the absence of a receptionist, maybe the first point of contact by greeting, welcoming, and assisting parents, callers and visitors to the school

3.10 Support for Secondary Staff in general and as appropriate


11 Cover for the Primary Administration Officer when required

3. Requirements- A graduate calibre or equivalent

  • Familiar with a database such as Open apply/ ISAMS/ Managebac
  • Multitasking
