JOB PURPOSE / ROLE

The objective of the Public Relations Supervisor is to manage the corporate communication and relations with the public sector and the media within Qatar. The position holder is responsible for uphold the Q-Post brand and promote constructive coverage for Q-Post in the local media and hence, keep good relations with the stakeholders

KEY RESPONSIBILITIES

  • Plan, develop and organize the public relations section’s functioning and performance
  • Work with the Head of Communication and Regulatory Affairs to develop and implement strategic PR plan and calendar of activities. Incorporate the strategy into all activities ensuring they are aligned within the framework of Q-Post’s business strategy
  • Understand the business direction and corporate goals, strategies and policies in order to fully support the MD’s priorities and provide PR support to the Chairman & MD’s Office
  • Work with the Head of Communication and Regulatory Affairs to manage media relations by promoting appropriate media coverage, managing media requests / queries, and organizing press conferences as required. Assist with the development of the media communication strategy and plan
  • Develop relations with all types of PR agencies and maintain contacts. Assist the Head of Communication and Regulatory Affairs while selecting one or more of these agencies
  • Work closely with the marketing team and other key stakeholders within Q-Post to ensure that all public relations initiatives are integrated into Q-Post’s overall communication activities
  • Receive and handle complaints that need PR intervention and coordinate with the Chairman & MD Office to resolve the issues and keep up the public image with customers and other external stakeholders
  • Develop and maintain relationships with the government officials and authorities to coordinate for important meetings / information and to keep the Chairman & MD informed of any changes affecting Q-Post
  • Prepare internal communication like announcements and employee newsletters, as and when required
  • Establish strategic media relationships through executive press contacts. Leverage existing media relationships and develop new contacts within business and industry media
  • Ensure monitoring of daily media including newspapers, local websites and social TV/radio programs to identify any positive or negative publication related to Q-Post and prepare regular media watch reports for the Chairman & MD
  • Manage media inquiries and interview requests and maintain good communication with local media and stakeholders
  • Develop or edit content for media such as newsletters, brochures and the website, ensuring that Q-Post’s print and online presence is consistent with its branding guidelines
  • Prepare articles to be incorporated in local newspaper and other publications for marketing, informational or entertainment purposes
  • Coordinate with the Marketing & Sales department for the newspapers and digital media advertisements and negotiate the best rates and terms for Q-Post
  • Assist with the updating of the Q-Post website regularly, provide the marketing team with the news, announcements, reports and publication material for the website
  • Supervise the preparation of banners for various events and campaigns for Q-Post
  • Prepare and send invites to the media to ensure proper coverage for various Q-Post events, provide relevant material and event photos to media and review the coverage reports, if required
  • Develop and distribute external corporate publication materials and press releases
  • Develop and maintain a press information contact kit in English and Arabic
  • Participate at public relations events, including stakeholder events, to represent Q-Post. Promote the Q-Post brand and build relationships during these events
  • Assist with the planning of Q-Post special events, including launches of new services and products
  • Manage public meetings and seminars as required
  • Plan, coordinate and organize delegate visits including but not limited to hotel bookings, meeting arrangements, airport welcome and transfers, workshops, visits, exhibitions
  • Arrange activities and create agenda of delegates and VIP guests to ensure that all requirements and expectations are met during their visits
  • Coordinate and schedule school visits to Q-Post. Plan and lead the school visit programs
  • Evaluate opportunities for partnerships, sponsorships and advertising on an on-going basis.
  • Conduct market research on latest PR activities and trends, analyze and communicate updates to the Head of Communication and Regulatory Affairs on a regular basis
  • Understand the sensitivity around the information being handled and manage confidential documents / data / information with the highest levels of integrity
  • Prepare periodic reports for the Head of Communication and Regulatory Affairs outlining current and planned section activities
  • Conduct periodic and ad-hoc review of the office functioning and report any issues or bottlenecks to the Head of Communication and Regulatory Affairs
  • Coach and mentor all team members, especially direct reportees for performance and work closely with them during the various stages of performance cycle (goal setting, performance evaluations etc.)
  • Ensure that all team members / direct reportees adhere to all Q-Post’s policies and procedures
  • Perform any other ad-hoc duties relevant to the role as delegated by the Head of Communication and Regulatory Affairs, or as per business requirements
