The Role

  • Supervise a small team who are responsible for all applications of visas and cancellations and deal directly with immigration department for visa matters for employees and their eligible dependants
  • Liaising with municipality, economic department and any other government departments in relation to Trade License/ Food safety approvals, Trade permits and setting up of new branches
  • Establish and maintain productive working relationships with key and operational government offices including in order to assist with the efficient processing and approval of requests and formalities
  • Keeping abreast with current labour and immigration laws and update the relevant teams on labour related matters impacting partner acquisition and on-boarding
  • Keeping the Group HR Director informed of significant problems that pose a risk to the company
  • Directing the preparation and maintenance with respect to visa documentation related to new starters, leavers, transfers and renewals.
  • Provide assistance with police and court cases, immigration and labour issues and other related matters
  • Keep records of passports, visa, licenses and permit expiry dates
  • Inform team members and the business in advance of expiry dates
  • Provide assistance in obtaining visas for travelling key personnel
  • Process government transactions and organise visits to government agencies in an efficient and timely manner to minimise cost and avoid penalties and additional fees
  • Manage the allocated petty cash expenditure through maintaining original receipts and through timely preparation of expense reports
  • Work closely with HR and Administration teams to ensure the timely completion and execution of relevant government and administrative formalities
  • Process immigration requirements in the most effective and efficient manner to expedite on boarding of new employees
  • Organising attestation of certificates and legal translation of documents and other activities related to immigration and labour.
  • Good knowledge with how to review lease agreements and provide comments where necessary
  • Update the Group HR Director with issues, risks, and statuses of immigration/government processes and provide relevant solutions
  • Maintain employee files and documents relevant to immigration
  • Maintain relevant forms for all types of immigration transactions
  • Preparing periodic reports for management or relevant authorities, as necessary and as required.

  • Excellent written and verbal communication skills in both Arabic and English
  • Previous experience in supervising a small team
  • Strong computer literacy including knowledge of Windows and Microsoft Office products including Word and Excel
  • Excellent organisational and planning skills
