Salary/Grade: EXS/8Northwestern Qatar is seeking an Event Manager responsible for coordinating, planning, and executing the NU-Q institutional events and activities. In addition, this position oversees all external requests from non-NU-Q entities and coordinates – and plans these requests in collaboration with the operational departments and the Dean’s office.

Additionally, this role also oversees the coffee shop and pop-up vendors in the NU-Q building and acts as an advisor to all NU-Q departments in terms of event and catering needs.

The Event Manager is furthermore responsible for collaborating with the counter partners at EC Universities and QF and ensuring networking and a good relationship with vendors across Doha.

Lastly, it is the Event Manager’s responsibility to ensure the implementation of best practices and the adoption of high standards of excellence for the NU-Q events and to ensure to use of innovative and creative methods and ideas.

Responsibilities

  • Plan, organize and execute the institutional events and activities, including but not limited to: convocation, graduation, ceremonies and conferences
  • POC for external space requests. Collaborate and coordinate with operational teams in hosting external events requests.
  • Prepare and maintain budgets preparation for each assigned event and ensure delivery with customer objectives and budget
  • Negotiate and build partnerships with EC Universities, QF entities, vendors and other entities
  • Coordinate and oversee the in-building coffee shop and pop-up vendors

required knowledge, skills, and abilities:

  • Minimum 3-5 years of event management experience
  • You are fluent (mother tongue) in English
  • Proficiency in Adobe Creative Suite (especially Photoshop)
  • Previous experience in managing events
  • Previous experience in leading a diversity of events, from small events and receptions to large ceremonies
  • You have participated and executed large-scale events
  • Experience in managing vendors
  • Exceptional time, resource management and organizational skills
  • Exceptional communication and presentation skills, both written and verbal
  • Strong attention to detail, self-directive initiative, resourcefulness, and drive for innovation
  • You are responsible and detail orientated
  • You have a good mood and can maintain an overview even when things goes fast or there is a sudden change in plans/schedules

Preferred Qualifications

  • Minimum 3 years of experience in higher education
  • Familiarity with Qatar and the Middle East

Preferred competencies:

  • Educational background or professional experience in the field of events.
