Job Description

As Crew Hotels & Allowances Specialist, you will support the long-term and short-term outstation crew accommodation function. You will overlook the entire process of variable crew allowances computation for all crew on a monthly basis and establish and maintain proper/ timely coordination and controls with all departments involved in the allowance process (form origin to payment instruction) in order to pay the crew members their allowances due in a timely manner.

Data analysis, logistics coordination, reviewing/implementing policies and performance monitoring are important aspects of the role. The position’s scope extends and is not limited to Crewing, Cabin Services, Human Resources, Finance, All stations and the Network Operations team

Key Accountabilities include but are not limited to:

  • Manage and overlook the entire process of Variable crew allowances computation for all crew on a monthly basis and establish/ maintain proper coordination/ controls with all departments involved in the allowance process (form origin to payment instruction) in order to pay the crewmembers their allowances due in a timely manner.
  • Reviewing policy in regards to allowance payments and suggesting changes to Senior Management for effective implementation
  • Ensuring changes affecting allowances is communicated to relevant stakeholders for smooth operations
  • Liaising with System & Projects and IT to configure any system modifications which would include preparation of the scope, testing and subsequent implementation in a live environment
  • Monitoring and updating allowance definitions in TOPS System
  • Address issues and carry out data analysis as required by Senior Management/ HR/ Finance Management
  • Primary liaison between Flight Operations, Crewing, Cabin Services, HR, QR consultants, IT and the Management in discussions of allowance related policies and issues
  • Oversee the entire operational crew layover room requirement and transport at outstations
  • Ensure the long term arrangements for crew to have airport transfers and rooms blocked while on layovers for both Passenger, Freighter operations & pilots on outstation training courses
  • Look after long term room requirements and transport arrangements for Pilots on training at outstation
  • Being a part of the Hotel inspection team which travels to outstations to inspected shortlisted hotels for QR, if and when required by Management
  • Compiling data for Management review and reviewing checklist for further shortlisting/selecting crew hotels
  • Reviewing crew feedback on crew accommodation/ transportation and taking corrective measures where necessary
  • Tracking Supplier performance and apprising Management of any gross violation of contract or quality of services rendered
  • Coordinating new station start-up with respective stakeholders

About you

The successful candidate will have the following qualifications and skills:

  • High School / Vocational Qualification / Diploma plus minimum 5 years of relevant job-related experience; or
  • Bachelor Degree or equivalent plus minimum 4 years of relevant job-related experience

Preferred experience:

  • Airline experience preferred
  • Proven ability in demonstrating flexibility to meet the changing demands of business
  • Strong interaction with client area with proven influencing experience
  • Highly developed planning, analytical, and problem-solving skills
  • Ability to delegate work, set clear direction and manage workflow
  • Experience in Payroll Management

Essential job skills:

  • Advanced skills in MS office skills, with good knowledge of basic programming as well as good knowledge of presentation techniques {(i.e. MS excel (models & tables), PowerPoint etc.}
  • Strong customer service orientation
  • Excellent problem solving and organization skills and ability to work independently
  • Be mature in outlook, organized, extremely detail-oriented and possess strong follow up skills
  • Knowledge of Crew allowance module functionality in TOPS and knowhow of crewing functions
  • Excellent airline operational coordination skills
  • Excellent command of spoken and written English
