About the job

Main responsibilities:

  • The administrative assistant will provide administrative support across range of departments and mainly the firm administration support function.
  • Assisting firm executives on day-to-day secretarial tasks including emails writing, manage calendars and answering phone calls.
  • Participate when required in departments team meetings, take minutes of meeting and circulate it on the appropriate channels, prepare letters, memos, agendas.
  • Format information, proposals, presentations and other business narratives for internal and external communication in both Arabic & English.
  • Record keeping for different projects and in compliance with firm record keeping policies and procedures, on a timely manner and accurate data recording on systems in place.
  • Assist in the preparation/compiling of reports on excel.
  • Data entry on billing system and generate reports.
  • Advanced knowledge of Word, PowerPoint, PDF and Excel.
  • Maintain adequate office materials and stationery required to service the administrative function in the firm.
  • Work in rotation to provide some reception and help desk duties.
  • Editing and translating business documents (English – Arabic) – (Arabic – English) when required.

Requirements:

  • Minimum 3 years of experience in an administrative role
  • Professional literacy of English and Arabic (Writing & speaking)
  • Bachelor’s degree in any field, preferably business administration or IT.
  • Excellent verbal and written communication skills in both languages (Arabic & English)
  • Strong literacy of PowerPoint, word, outlook, adobe, MSTeams meetings and collaboration tools, etc
  • Strong working knowledge with excel using pivot tables and Vlookup
  • Professional business writing (English & Arabic)
  • Strong organizational and time management skills

The successful candidate must have:

  • Customer service background
  • Proven experience in preparing reports
  • Previous experience assisting executive levels.
  • Located in Qatar with a valid resident permit and willing to join immediately.
