Duties & Responsibilities

  • Supervise and coordinate lease administration activities, including lease document preparation, execution, and recordkeeping. Ensure accuracy and compliance with leasing policies, procedures, and legal requirements.
  • Manage a team of leasing administrators, assign tasks, provide guidance, and monitor performance. Conduct training sessions to enhance knowledge and skills related to lease administration processes.
  • Maintain an organized and up-to-date repository of lease documents, amendments, and related records. Ensure proper filing, retrieval, and archiving of lease documentation for easy accessibility and reference.
  • Provide support to the leasing team in addressing tenant inquiries, collecting necessary documentation, and facilitating lease negotiations. Maintain positive relationships with tenants, addressing their concerns promptly and professionally.
  • Oversee the accurate and timely entry of lease-related information into leasing databases or systems. Generate reports and analyze lease data to support decision-making processes and identify areas for improvement.
  • Assist in lease renewal negotiations and lease expansion processes. Collaborate with leasing managers to ensure timely renewal offers, facilitate lease amendments, and update lease terms as required.
  • Collaborate with vendors, such as legal firms, document management systems, and background screening agencies, to streamline lease administration processes. Ensure timely and quality services from external providers.
  • Identify opportunities to enhance lease administration processes, streamline workflows, and implement best practices. Develop and update leasing administration policies and procedures to ensure efficiency and accuracy.
  • Ensure adherence to legal and regulatory requirements related to lease documentation, tenant agreements, and lease administration. Assist in lease audits and provide necessary documentation as per audit requests.
  • Collaborate with cross-functional teams, including property management, finance, and legal departments, to address lease-related matters, resolve issues, and ensure alignment of lease administration processes.

  • Other: Familiarity with legal aspects of lease agreements, contract interpretation, and understanding of lease clauses and terms is valuable. Formal education or coursework in contract law or real estate law can provide a strong foundation in legal principles related to leasing.
