Responsibilities
The Receptionist will act as BSC’s first point of contact with people from internally and externally.
Key deliverables would include:
- Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries;
- Briefs all visitors on Worley’s emergency induction video and evacuation routes
- Directs visitors by maintaining employee and department directories, giving instructions;
- Support facilities by monitoring guest logbook; issuing visitor badges, plus other administrative facilities activities such as providing refreshments and directions to washroom and pantry facilities
- Maintains a safe and clean reception area
- As an Administrator, key duties to support senior managers involve:
- Assist in arranging business travel and accommodation;
- Arranging conferences, meetings and for virtual meetings, providing dial-in detail
- Assist in project administration, analysis of reports and monitoring of project status as part time admin support
- Co-ordinating meeting agendas, taking minutes of meeting/discussions, provide general assistance for presentations via excellent power-points preparations, charts, graphs, databases, and spread sheets
- Arranging the setting up and testing of communication technology in advance of meetings
- Arranging catering and special needs for meetings as required
- Office first aider
- Support facilities manager/coordinator as required
Qualifications
- Diploma in Business/Office Administration/Secretarial disciplines
- Good analytical, interpersonal and communication skills
- Proficient in Microsoft Office applications/PowerPoints, Excel, MS Word
- Team player and able to work independently to get work completed
- Highly committed, self-motivated, able to work under tight timelines, and able to handle multiple tasks
- Excellent command of both spoken and written English, well organized and meticulous at work
- Possess positive attributes of being dynamic, mature, discrete and possess integrity to handle highly confidential information
- Professional pride in personal presentation of self
