About The Job

The Warehouse Officer is responsible for overseeing the accurate receipt, storage, retrieval and timely dispatch of all stocks, Furniture and Marketing & Promotional Materials entering the Distribution Centre (DC) or F&B Storage and any other storage locations while maintaining accurate inventory and associated records. Ensures workplace health and safety requirements are met at all times and takes responsibility for the security of the building and all stocks within the respective department.

Responsibilities

  • Oversee the day to day business activities within respected warehouse location (DC/F&B) to ensure the accurate processing of transfer orders is maintained at all times ensuring the movement of stock is accurately recorded within the DC (Warehouse Management System and Automated Storage and Retrieval Systems) or F&B systems.
  • Plan the timely receipt, storage, processing and dispatch of goods within warehouse locations and organize special requirements for certain stocks, such as chilled goods or fragile products to safeguard the stock quality and availability to meet all sales opportunities.
  • Respond to all customer communications by email and/or telephone making sure all requests are actioned in a timely manner.
  • Ensure that daily checks on warehouse equipment are done to maintain operational duties ensuring all vehicles are checked, maintained. Licences and permits renewed on time.
  • Monitor fuel consumption, follow up and confirm bills for fuel, maintenance, vehicle rent and other costs.
  • Track, monitor and prepare recharge data for third party services provided.
  • Arrange equipment and resources not available under QDF Warehouse management to support business requirement by borrowing from QAS or contractors, following all proper documentation process.
  • Arrange, raise and follow up on safety / accident reports for all accidents and incidents in operations.
  • Brief Supervisors on any particular issue for each day, motivate and encourage teamwork within the workforce and between departments to ensure productivity targets and budget objectives are met
  • Ensuring all relevant warehouse and inventory transactions are properly documented in accordance with policies and standard operating procedures are followed.
  • Monitor and record all stock movement and storage in non QDF managed locations like third party warehouses or temporary storage locations to ensure all inventory there are in QDF control.
  • Responsible for liaising with purchasing, logistics and stock control teams for planning container receipts and transfers, ensuring the team is fully briefed and adequate resources are allocated to ensure unloading activities are completed in a timely manner and within budgeted cost.
  • Pick and Pack operations spread over multiple shifts.
  • Brief Supervisors on daily activities to ensure the team is fully aware of plans and necessary resources and equipment are arranged accordingly to ensure smooth operation.
  • Co-ordinate all guidelines in relation to DC/HIA Health and Safety, and immediately report any accidents to provide a safe working environment.
  • Prepare, organize and assist staff to achieve budgeted productivity and minimize over time spend.
  • Ensure all documents are posted on daily basis and physical vs system inventories are matched without variances.
  • Performing other tasks and duties as directed by the Head of the Department

F&B Warehouse specific

  • Adhere HACCP and expiry policy for any kind of stock movements. Monitor proper recording of damaged or expired products.
  • Check F&B store that stocks are stored in the correct order and that they are easily accessible for picking for supplying to the outlets.
  • Verify all posted invoices, transfer journals or any other store related documents to ensure the accuracy of inventory data posted in to the ERP system.
  • Verify all purchase requests raised by F&B stores for quantity, cost and source accuracy to protect business from running out of stock and to prevent over stocking.
  • Verify statements of accounts to ensure posted invoice data are matching with SOA sent by F&B suppliers.
  • Assist cost controller for month end inventory counting, document posting and preparing various reports.
  • Conduct expiry check for all product, prepare expiry report and communicate short expiry product details with operational team.
  • Maintain expiry tracking of all the store related items and effectively communicate with operation to plan for utilization prior expiry.
  • Prepare par level together with purchasing for all the product’s in store without affecting the budgeted inventory turnover days to help non-availability.
  • Coordinate with Purchasing and operation for all the daily market list item receiving within the approved timeframe.
