About The Role

We are recruiting for Crew Hotels and Allowances Coordinator, to be based in Doha, Qatar.

The Crew Hotels and Allowances Coordinator will be responsible for supporting line manager in effective contracting and handling of crew hotels and transport suppliers used across QR network by directly handling suppliers to ensure the required contracts are in place for the expected operational requirements. In this role you will ensure that service levels are maintained by our contracted suppliers, while addressing the crew reports raised with the appropriate parties as well as providing effective support to the team to manage daily, monthly and yearly crew allowances process while coordinating with all involved internal stakeholders for the relevant requirements.

Specific Responsibilities For The Role Include

  • Maintain and provide crew reports to the line manager with regards to our crew hotels & transportation and address them to the respective suppliers, and airport/cargo operation teams at the stations to ensure necessary corrective actions are taken.
  • Monitor and raise purchase inquiries for the procurement team to initiate sourcing of crew hotel & transport requirements to ensure timely procurement is made for necessary operations.
  • Verify & process crew accommodation and transportation contracts from contract award till contract sign-off.
  • Review and liaise with all stakeholders e.g., Procurement, Finance, Insurance, Group Legal etc. to ensure that the contracts’ terms and conditions are as per Company’s requirements and instructions.
  • Process urgent approvals for crew accommodation and transport invoices as and when requested to ensure operational necessity is met.
  • Verify crew accommodation and transportation invoices to ensure that these are as per relevant policies.
  • Follow up with delayed payment issues with contracted suppliers and ensure to keep the line manager aware of the progress on all such matters.
  • Maintain and update all crew hotels and transportation databases with rates and expiries of existing contracts.
  • Keep the operational database up-to-date for the effective functioning of crewing operations.
  • Monitor and update Adhoc hotel assignments for crew across the Qatar Airways network.
  • Coordinate monthly ground transportation requirements across the Qatar Airways network with the relevant stakeholders within the division and ensure adequate transport arrangements are available for the crew.
  • Responsible for computation, setting and updating of meal allowance rates across all stations after obtaining necessary approvals and keeping all stakeholders.
  • Process Adhoc deductions requests with HR Payroll & Finance teams for crew meal expenses outstation.
  • Manage final settlements with HR Separations team for flight deck and cabin crew pertaining to their variable allowances.
  • Understand crew allowances process and support the team during the monthly process for Flight Deck and Cabin Crew.
  • Issue necessary crew communication on all relevant system portals.
  • Perform other department duties related to his/her position as directed by the Head of the Department.

About you

The successful candidate will have the following skills and qualifications:

  • High School Qualification / Vocational Qualification /Diploma or Equivalent (Type of Diploma Based on Role) with Minimum 3 years of job-related experience.

OR

  • Bachelor’s Degree or Equivalent with Minimum 2 years of job-related experience.

Preferred

  • Experience in directly handling crew allowances
  • Experience in supplier relations
  • Experience in operations/logistics
