Parsons is looking for an amazingly talented Document Controller to join our team! In this role, you will be responsible for managing project documentation and records, ensuring that documents are properly received, registered, distributed, tracked, and archived in accordance with project and client requirements. You will work closely with project teams to support efficient document control and effective communication across all project stakeholders.
What You’ll Be Doing
- Managing all aspects of document control and project document management in line with project procedures and client requirements.
- Electronically scanning documents and distributing PDF digital copies to designated recipients, and uploading documents to the client’s Contract Management System (Primavera Contract Management / EDMS).
- Maintaining a hard copy reference library of all documentation to ensure quick and easy retrieval of information.
- Using Primavera Contract Management (or similar EDMS) to control, register, and update the status of contract documents.
- Preparing and registering correspondence, reports, payment requisitions, variation orders, site instructions, punch lists, and non-conformance reports (NCRs) in Primavera Contract Management.
- Tracking and updating the status of submittals, safety reports, RFIs/RFCs, site minutes of meetings, progress photographs, contract issues, and drawings.
- Producing regular reports on outstanding actions and responses related to project correspondence and submittals through Primavera Contract Management.
- Ensuring the use of standardized forms and reports in line with client requirements and coordinating with client O&M systems where applicable.
- Supporting project teams by ensuring accurate, timely, and organized document flow and record management from project initiation through to close-out.
What Required Skills You’ll Bring
- Diploma or specialized training in document control, project administration, or a related field.
- Minimum 5 years of experience in document control within construction or engineering companies.
- At least 3 years of hands-on experience using Electronic Document Management Systems (EDMS), preferably Primavera Contract Management.
- Extensive knowledge and experience in document control processes from project initiation to close-out, utilizing computer-based systems (Primavera Contract Management / EDMS).
- Good computer skills, including proficiency with EDMS and standard office software.
- Good oral and written communication skills in English.
- Strong attention to detail, accuracy, and organization in handling large volumes of documents and data.
What Desired Skills You’ll Bring
- Experience working in the Gulf region.
- Familiarity with client systems, standards, and procedures for document and contract management.
- Experience supporting multiple concurrent projects within an integrated project service or PMO environment.
- Strong interpersonal skills and the ability to work collaboratively with multidisciplinary project teams and external stakeholders.
