About the job

AEA Designs needs a highly motivated, very detailed, experienced Office Admin to perform a variety of administrative and clerical tasks.

Keep and organize all projects records and documentation

Answer and direct phone calls

Organize and schedule appointments

Write and distribute emails, correspondence memos, and forms

Update and maintain office policies, folders, and other necessary files

Keep a record of attendance logs for each month

Keep the track of annual leave days, sick leave days, and personal leave days in charts and files

Order office supplies and research new deals and suppliers

Act as a point of contact between internal and external shareholders

Maintain contacts list

Provide general support to visitors

Keep project boards always updated

Keep meeting minutes and keep updating relevant parties

Review and prepare documents and ensure their accuracy

Liaise with executives and management to handle queries and requests.

Education Level:

Diploma / Bachelor’s Degree

Experience Level: 3-5 years in Qatar, preferably in Interior design and architecture or the construction sector

Compensation: Based on Experience

Skills

Proven working experience as an Administrative Assistant

Great knowledge of Microsoft Office packages (Excel, Word, Powerpoint, and Outlook in particular)

Excellent time management skills.

Working knowledge of office equipment.

Excellent written and verbal communication skills.

Excellent knowledge of the English language. Knowledge of Arabic will be an advantage

Pleasant personality.

Ability to work under pressure.

Ability to demonstrate teamwork.

Ability to follow the company’s procedures and policies.

Diploma or additional qualification as an Administrative assistant or Secretary will be an advantage.

Excellent verbal and written communication skills.
