Job Overview:
The Spare parts Coordinator has developed proficiency in various Procurement processes or procedures through job-related training and considerable on-the-job experience. They may work as a lead, coordinating the work of others.  The Spare parts Coordinator will be accountable to manage Project spares part.
Key Tasks and Responsibilities:
- Ensure the Spare Parts Data Package and information is complete and received from Suppliers to fulfil the COMPANY’s CMIMS requirements
- Ensure Spare Parts Data Information are forwarded to COMPANY through the agreed transmission channels
- Resolution of any queries or shortages in the Spare Parts Data Packages as identified by the COMPANY
- Ensure the Supplier fully understands the requirements of the Spare Parts Data Package
- Ensure that adequate and complete quotes from supplier have been received for complete coverage of spare parts, as may be required for the specific commodity
- Obtain electronic SPF-E package for two year operational spares from supplier and subsequent verification of data as per guidelines detailed in Spare Parts Management document
- Populate the requisite SPF-E data to CMIMS as per CMIMS Manual (CONTRACTOR module) for COMPANY review and acceptance
- Coordinate with COMPANY for the approval of SPF-E package for each commodity and ensure that all acceptable comments are incorporated by supplier
- Order, expedite and coordinate the receipt of Operational Spares into inventory prior to successful handover to COMPANY at SITE, in line with the procedure to be agreed
- Inform COMPANY is supplier is unable guarantee continuous supply of spare parts (same or of equal functionality) for a minimum of 25 years from the date of placing spare parts purchase order
- Maintaining a parent equipment Purchase Order and Spare Parts Data Package Tracking System and issue it on a monthly basis
Essential Qualifications and Education:
- Bachelor’s Degree in a related discipline
- 5-7 years of professional experience with a background in Procure to Pay and Shared Service Delivery model
- Be highly organized with high attention to detail
- Be able to maintain control while remaining flexible
- Understands the Unifi process
- Able to identify problem areas and escalate when appropriate
