Role Overview:

The Facility Coordinator is responsible for overseeing the day-to-day operations of a facility, ensuring that all maintenance, safety, and operational tasks are carried out efficiently and in compliance with relevant regulations. This role involves coordinating maintenance services, managing facility-related projects, ensuring a safe and clean environment, and supporting the overall functionality of the building.

(Some of) What you will be doing:

Facility Maintenance and Repairs:

  • Coordinate and oversee routine and emergency maintenance and repairs for the facility.
  • Ensure that all equipment and systems (HVAC, plumbing, electrical, etc.) are functioning properly.
  • Liaise with contractors and service providers to schedule maintenance work.

Health and Safety Compliance:

  • Monitor the facility to ensure compliance with health and safety standards.
  • Perform regular safety inspections and ensure any hazards are reported and resolved.
  • Maintain emergency procedures and ensure the facility is prepared for emergency situations (e.g., fire drills, evacuations).

Vendor and Contractor Management:

  • Manage relationships with external vendors and contractors for facility services (cleaning, security, repairs, etc.).
  • Coordinate vendor performance, ensuring that all services are delivered to agreed standards.
  • Maintain contracts, track service delivery, and handle any issues with vendors.

Facility Projects and Improvements:

  • Assist in planning and executing facility-related projects such as space planning, refurbishments, and upgrades.
  • Ensure that projects are completed on time, within budget, and to required specifications.
  • Assist in developing cost-effective solutions for facility improvements and repairs.

Facility Inventory Management:

  • Maintain an accurate inventory of facility-related supplies and equipment.
  • Monitor usage and order supplies when necessary to ensure continuity of operations.
  • Ensure proper storage and organization of supplies.

Budget and Cost Control:

  • Assist in managing the facility’s budget, ensuring expenditures are within allocated limits.
  • Monitor and report on operational costs and identify opportunities for cost savings.
  • Provide regular reports on facility-related expenses and budget status.

Communication and Coordination:

  • Serve as the main point of contact for internal teams and employees regarding facility-related requests or issues.
  • Communicate effectively with staff, management, and contractors to ensure smooth facility operations.
  • Coordinate facility activities, including events, meetings, and team needs.

Facility Inspections and Reporting:

  • Conduct regular inspections of the facility to identify and resolve issues promptly.
  • Create and maintain records of inspections, repairs, and maintenance.
  • Prepare reports for senior management on facility operations and improvements.

Environmental and Sustainability Practices:

  • Assist in promoting environmentally friendly practices within the facility.
  • Monitor energy usage and implement energy-saving strategies.
  • Support initiatives for waste reduction and sustainability within the facility.

Attitude matters most but do you have any of these?

  • High school diploma or equivalent; a degree in Facility Management, Business Administration, or related field is a plus.
  • Minimum of 2 years of experience in facilities coordination or a related field.
  • Strong knowledge of building systems and maintenance practices.
  • Familiarity with health, safety, and environmental regulations.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Strong organizational and time-management skills.
  • Excellent communication skills and ability to work with various teams and stakeholders.
  • Ability to manage multiple tasks simultaneously and work under pressure.
  • A driving license is a must.

Working Conditions:

  • Full-time position.
  • May require occasional evening or weekend work depending on facility needs.
  • Ability to work in a fast-paced environment with varying demands.
