Role Overview:
The Facility Coordinator is responsible for overseeing the day-to-day operations of a facility, ensuring that all maintenance, safety, and operational tasks are carried out efficiently and in compliance with relevant regulations. This role involves coordinating maintenance services, managing facility-related projects, ensuring a safe and clean environment, and supporting the overall functionality of the building.
(Some of) What you will be doing:
Facility Maintenance and Repairs:
- Coordinate and oversee routine and emergency maintenance and repairs for the facility.
- Ensure that all equipment and systems (HVAC, plumbing, electrical, etc.) are functioning properly.
- Liaise with contractors and service providers to schedule maintenance work.
Health and Safety Compliance:
- Monitor the facility to ensure compliance with health and safety standards.
- Perform regular safety inspections and ensure any hazards are reported and resolved.
- Maintain emergency procedures and ensure the facility is prepared for emergency situations (e.g., fire drills, evacuations).
Vendor and Contractor Management:
- Manage relationships with external vendors and contractors for facility services (cleaning, security, repairs, etc.).
- Coordinate vendor performance, ensuring that all services are delivered to agreed standards.
- Maintain contracts, track service delivery, and handle any issues with vendors.
Facility Projects and Improvements:
- Assist in planning and executing facility-related projects such as space planning, refurbishments, and upgrades.
- Ensure that projects are completed on time, within budget, and to required specifications.
- Assist in developing cost-effective solutions for facility improvements and repairs.
Facility Inventory Management:
- Maintain an accurate inventory of facility-related supplies and equipment.
- Monitor usage and order supplies when necessary to ensure continuity of operations.
- Ensure proper storage and organization of supplies.
Budget and Cost Control:
- Assist in managing the facility’s budget, ensuring expenditures are within allocated limits.
- Monitor and report on operational costs and identify opportunities for cost savings.
- Provide regular reports on facility-related expenses and budget status.
Communication and Coordination:
- Serve as the main point of contact for internal teams and employees regarding facility-related requests or issues.
- Communicate effectively with staff, management, and contractors to ensure smooth facility operations.
- Coordinate facility activities, including events, meetings, and team needs.
Facility Inspections and Reporting:
- Conduct regular inspections of the facility to identify and resolve issues promptly.
- Create and maintain records of inspections, repairs, and maintenance.
- Prepare reports for senior management on facility operations and improvements.
Environmental and Sustainability Practices:
- Assist in promoting environmentally friendly practices within the facility.
- Monitor energy usage and implement energy-saving strategies.
- Support initiatives for waste reduction and sustainability within the facility.
Attitude matters most but do you have any of these?
- High school diploma or equivalent; a degree in Facility Management, Business Administration, or related field is a plus.
- Minimum of 2 years of experience in facilities coordination or a related field.
- Strong knowledge of building systems and maintenance practices.
- Familiarity with health, safety, and environmental regulations.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong organizational and time-management skills.
- Excellent communication skills and ability to work with various teams and stakeholders.
- Ability to manage multiple tasks simultaneously and work under pressure.
- A driving license is a must.
Working Conditions:
- Full-time position.
- May require occasional evening or weekend work depending on facility needs.
- Ability to work in a fast-paced environment with varying demands.
