Key Responsibilities
Executive Support:
- Manage the MD’s calendar, appointments, and travel arrangements (local and international).
- Prepare agendas, reports, presentations, and other confidential documents.
- Handle correspondence, phone calls, and emails on behalf of the MD.
Administrative Duties
- Organize meetings, conferences, and events, ensuring smooth execution.
- Maintain filing systems (digital & physical) and ensure confidentiality at all times.
- Draft official letters, memos, and communications.
Coordination & Liaison
- Act as the first point of contact between the MD and internal/external stakeholders.
- Liaise with senior management, clients, and government authorities when required.
- Follow up on pending tasks, ensuring timely completion.
Office & Business Support
- Assist in reviewing business reports, contracts, and confidential documents.
- Coordinate with HR, Finance, and other departments for administrative requirements.
- Support in personal tasks for the MD when necessary.
Requirements
- Education: Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
- Experience: Minimum 5 years in a similar PA/Executive Secretary role, preferably supporting senior executives.
- Nationality Preference: Western / European (due to cultural adaptability with MD’s requirements).
- Skills:
- Excellent written and verbal communication skills in English (additional languages a plus).
- Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- High level of discretion, professionalism, and confidentiality.
- Strong organizational and multitasking abilities.
- Presentable, proactive, and service-oriented personality.
